Vendor Rules
Space Setup: The event is scheduled from 9:00 AM to 2:00 PM. Vendor Check-in and Setup can begin as early as 7:00 AM. Please allow yourself enough time to be fully set up and ready for traffic by 8:45 AM. Vendor spaces are 10'x10' with at least 1 foot of buffer on each side. Vendors/Crafters are fully responsible for their own setup, including providing tents, tables, weights, and all display materials, as well as managing setup, breakdown, and cleanup of their space. All tents must be properly staked or weighed down to ensure safety for all attendees. Unsecured tents may be taken down at the discretion of CHEP staff.
Tear Down: Displays must remain set up for the entire event. No vehicles are permitted to drive across the vending grounds between 8:30 AM and 2:00 PM, as doing so could pose a serious safety risk to attendees, vendors, and staff. If you need to leave early, please plan ahead and park outside of the vending area. You must then carry or cart your items out—no driving on the grounds during event hours. Violating this policy may result in removal from the event and disqualification from future participation. If an emergency arises and you must leave, please let us know so we can safely guide your vehicle through the vendor grounds.
Food trucks: Food trucks will be set up on the grass with the rest of the vendors. They will be staged between the vendor tents and the CHEP Outpost store along the back of the field.
Electric: There is no electricity available for our event.
Internet: Service can be spotty depending on your carrier. Please be prepared to take cash payments if your internet connection isn’t up to par.
Advertising: Please share our Facebook event for the 2nd Saturday you are attending and invite all of your friends and family. If everyone shares, this can increase the attendance at the event. Please email us a logo or picture at outpost@chepinc.org to use so we can advertise your business within the Facebook event page.
Refund policy: Your vendor space donation supports CHEP Inc., a 501(c)(3) nonprofit dedicated to helping local veterans and families. As this event is a fundraiser, donations are non-refundable, including in the event of delay, early closure, or cancellation due to severe weather or safety concerns. This is a rain-or-shine event.
Vendor Legal Agreement
Sales Tax Responsibility: Vendors are solely responsible for collecting and reporting sales tax as required by Maryland law.
Prohibited Items: The sale of firearms, fireworks, weapons, alcohol, tobacco products, or any illegal items is strictly prohibited. CHEP Inc. reserves the right to remove any vendor in violation of this policy.
Noise and Behavior Clause: Vendors must maintain a family-friendly atmosphere. Excessive noise, disruptive behavior, or inappropriate signage/language is not permitted.
Waiver and Release: Vendor/Crafter hereby releases, discharges, and agrees to hold harmless CHEP Inc., its successors, officers, directors, employees, agents, and volunteers from any and all claims, liabilities, demands, losses, or expenses—including those arising from negligence—that may result from participation in vending activities with CHEP Inc. This includes, but is not limited to, any bodily injury, personal injury, illness, death, or property damage. Vendor/Crafter understands that CHEP Inc. does not provide insurance coverage or financial assistance for medical, health, disability, or other related costs. Vendor/Crafter further agrees to indemnify, defend, and hold harmless CHEP Inc. and its representatives against any such claims or expenses, including reasonable attorney’s fees, arising from their participation in the event
